Church council meeting

Church meeting minutes template

Church council or board minutes follow the usual order of business, framed by an opening and closing prayer: call to order, attendance and quorum, approval of the last minutes, the pastor's report, the treasurer's report, ministry and committee reports, old and new business with motions and votes, and adjournment. Record decisions and votes, not discussion, and keep pastoral care matters out of the minutes.

Questions people ask

How do you handle confidential matters in church council minutes?
Pastoral care, counseling, discipline and personnel matters usually stay out of the regular minutes. If the council meets in closed session, record only that it did, the general topic and any vote. Prayer concerns are shared in the room and not written down by name.
Who decides what goes in church minutes and who can see them?
Your church's constitution and bylaws, and for many churches the denomination's book of order, discipline or canons, set who keeps the minutes, how they're approved and who can read them. State nonprofit law can also apply. Check those documents, since this page isn't legal advice.
Should the council chair or the pastor take the minutes?
Neither, if you can avoid it. Both need to lead the conversation. Most councils elect a secretary or clerk whose job is the minutes, and that person reads back the motions and action items before adjourning.
