Meeting agenda template

A useful agenda lists each topic with an owner, a time limit and what the group needs to leave with: a decision, an update or a plan. Send it a day ahead so people come prepared, and use it as the skeleton for your notes.

The simple version, filled in

Juniper & Rye Bakery (a fictional sample) used the simple version for a 30-minute meeting at the back table after the lunch rush. Why we're meeting: settle the holiday preorder menu, cutoff and pickup days so orders can open on Monday, November 9. Three things were decided; three were not, and the notes say so:

Questions people ask

How far in advance should an agenda be sent?
At least one working day before, or two if there is a pre-read. An agenda that arrives five minutes before the meeting is a list of topics, not a plan.
What should every agenda include?
The goal of the meeting, each item with an owner and a time, and what the group needs to leave with. Add a review of open action items at the start of recurring meetings. How to write a meeting agenda goes through each part in more detail. To see how real boards, councils, unions and teams lay theirs out, browse these meeting agenda examples.
Is there a version for Word, Google Docs or Excel?
Yes. The Word button above downloads a .docx, and Copy template pastes the same agenda into Google Docs; the steps for both are above. The Excel version adds up the start times for you, and the printable agenda fits on one page with room to write.
Does Word or Google Docs have its own agenda templates?
Word does: go to File > New, type agenda in the Search for online templates box and press Enter. Google Docs has a Template gallery at the top right of the Docs home screen. Before you pick one, check that it has room for an owner and an outcome for each topic, not only a time and a title.
What is the difference between a .docx and a .dotx file?
A .docx is an ordinary document. A .dotx is a Word template: when you start from it with File > New > Personal, Word opens a new document based on it and the template stays as it was. Keep one .dotx per recurring meeting and save each filled-in agenda as a .docx with the date in the file name.
When is a simple agenda not enough?
When the group votes, spends money it answers to others for, or needs a record that members or a board will rely on. Boards, HOAs, PTAs and committees usually need formal minutes. A small team settling its own work does not.
