18 sets of minutes that boards, HOAs, nonprofits, committees, churches, PTAs, unions, government advisory committees and working teams have published, grouped by kind of meeting. Each one comes with what it does well and what is worth doing differently, and links to the original. Private people's names are covered in the images.
What good meeting minutes include
Under Robert's Rules, minutes are mainly a record of what was done at a meeting, not of what was said. The law or your own rules can ask for more: federal advisory committees, like the one below, must keep detailed minutes that describe each matter discussed. Whatever the group, the same few parts let a reader who missed the meeting see what was decided and who is doing what. Here they are in the minutes of a federal advisory committee from April 2026.
1The Freedom of Information Act (FOIA) Advisory Committee convened virtually at 10 a.m. ET on April 2, 2026.
2Committee members present at the meeting: Alina M. Semo ... (Committee Chairperson); Jason R. Baron, University of Maryland; ...
3Ms. Mitchell confirmed a quorum with 15 members present. She noted that Ms. Hempowicz would join shortly, and that Ms. Manheim would leave after an hour.
4Mr. Mulvey moved for a vote on draft recommendation SR-1. Ms. Frazier-Jenkins seconded the motion.
5The motion carried by a unanimous vote of 15–0, with Mr. Glendening abstaining and Ms. Manheim absent.
6Mr. Baron suggested that Ms. Kwoka draft language reflecting her intent while the Committee proceeded with votes on other items.
7She noted that the next meeting would be Thursday, May 7, 2026.
8I certify that, to the best of my knowledge, the foregoing minutes are accurate and complete on May 4, 2026.
1
Date, time and place. Put them in the first sentence, so anyone can tell which meeting this is.
2
Who attended. Name the people present, and list who was absent too. This one only lists who was present.
3
Quorum. Say that a quorum was present, with the count. A group can't do business without a quorum, and this line records that one was there when the meeting started. People can leave later, and each decision still has to follow the group's other rules.
4
Motion. Each motion: who made it. Robert's Rules says the seconder's name isn't entered unless the group orders it, so follow your own rules; this committee records seconders too.
5
Vote. Each vote: the result, and the count when the vote was counted or your rules ask for one. Here the committee names who abstained and who was absent, because an abstention isn't a vote.
6
Follow-up. Follow-ups: who does what. This one was arranged inside the meeting, as a member drafted wording while the committee voted on other items and then came back to it. Work that continues after the meeting needs an owner and a due date.
7
Next meeting. The next meeting, so people can plan and last meeting's actions come back on time.
8
Approval. How the minutes were approved or certified, and when. Federal advisory committees must have the chair certify their minutes.
A federal agency board and a New York public authority. Both record who moved each motion and how it was decided.
Farm Credit Administration Board
Regular board meeting of a federal agency · October 9, 2025
What it does well
Gives the start and end times (10:00 to 10:28 a.m.) and says the members present "constitute the full Board".
Every motion has a mover, a seconder and a polled vote, and each action gets a tracking number such as BM-9-OCT-25-01.
Records the vote to keep the whole meeting open, and ends with a certification and the date the minutes were approved.
Worth doing differently
Staff presentations get one line each, and readers are sent to slides attached as exhibits. One sentence on what the board heard would make the minutes readable on their own.
Board Member Smith moved to approve the minutes for the September 11, 2025, FCA regular board meeting, as presented. Chairman Hall seconded the motion.

Hugh L. Carey Battery Park City Authority
Meeting of the Members (a New York public authority) · June 25, 2025
What it does well
Lists members, staff and others separately, and records a late arrival with the time ("joined the meeting at 2:24 pm").
Each item names the mover and seconder and then gives the full text of the resolution adopted.
The motion to enter executive session states the legal reason for closing the meeting.
Worth doing differently
Four motions are moved by people who are not on the list of members present, which looks like names carried over from an earlier set of minutes. Check every mover against the attendance list.
The minutes give the time the members went into executive session but not when they came out or whether any action was taken.
Ms. Gallo made a motion to enter Executive Session, which was seconded by Mr. Plummer, to discuss negotiations related to the lease of real property

Two homeowners associations, in California and Colorado. One is strong on vote counts, the other on keeping owners' details out of the record.
Tahoe Donner Association
Regular board meeting (Truckee, California) · July 25, 2025
What it does well
Vote counts name the director who voted no: "Motion passed 4-1 (Koenes No)."
Records when directors arrived and left, so each count can be checked against who was in the room.
Even the move into executive session is a recorded vote, with the absent director named.
Worth doing differently
The secretary's certificate at the end calls it a "special meeting" although it was a regular one, and the signature line is blank.
At 4:43 p.m. Director Gauny moved to adjourn to Executive Session, seconded by Director Koenes. Motion passed 4-0 with Director Murrell being absent.

Woodmoor Improvement Association
Board of directors meeting (Monument, Colorado) · May 27, 2026
What it does well
Visitors are counted, not named: "Visitors present: Four (4) including one (1) OCN reporter."
Delinquencies are reported as a number of unpaid accounts, with no owner names or lot numbers.
Reports carry numbers, such as 124 of 127 architectural projects approved.
Worth doing differently
The board adopted new rules "with final verbiage available by the end of the week", so it voted on text that wasn't final. Attach the text that was voted on.
Seven of nine directors were there, but the minutes never say a quorum was present.
The date for the approval of the minutes was corrected to 4/22/26. Miller moved to approve the agenda, seconded by Cutler. The motion carried unanimously.

A professional association and a food bank. Both state the quorum and name who moved and seconded each motion.
National Strength and Conditioning Association
Board of directors meeting · July 19, 2025
What it does well
Each motion has a number and the same four lines: proposed by, seconded by, vote, and the motion as adopted.
Opens with the time, the presiding officer and "A quorum was present", and names absent members and guests separately.
Records the time of adjournment.
Worth doing differently
Follow-ups such as forming a task force have no owner or due date.
No approval of the previous minutes and no signature.
The meeting of the NSCA Board of Directors was called to order at 9:00 am Central Time (CT) on Saturday, July 19, 2025, by Dr. Ian Jeffreys, NSCA President. A quorum was present.

Roadrunner Food Bank
Board open meeting on city-funded programs (Albuquerque) · April 2, 2026
What it does well
States the quorum as a count: 11 of 16 board members present, in person or remotely.
Each item gives the motion first, then who moved and seconded it, then the result.
Summarizes the board's questions and the staff answers in a few lines instead of a transcript.
Worth doing differently
Two motions name a different report from their agenda item. Under the item for the FY26 first-quarter report, the motion approves "the 2nd Quarter Report for the FY25". Read each motion against its agenda item before the minutes go out.
Kenneth Rosen moved and Margie McNett seconded the motion to approve the 2026 RRFB Open Meeting Resolution. The motion was passed unanimously by the Board.

The Federal Reserve's rate-setting committee and a university faculty senate: one shows a recorded vote with named dissents, the other a short, clean set of minutes.
Federal Open Market Committee (Federal Reserve)
Monetary policy meeting · April 28 and 29, 2026
What it does well
The vote lists every member voting for and against, and gives each dissenter's reason.
Records that the previous minutes were approved, and how: by a notation vote completed before the meeting.
Ends with the date of the next meeting, the time of adjournment and the secretary's name.
Worth doing differently
The decision appears on page 13 of 18, after twelve pages of discussion. A short list of decisions at the top would help most readers.
By notation vote completed on April 7, 2026, the Committee unanimously approved the minutes of the Committee meeting held on March 17–18, 2026.

Sul Ross State University Faculty Senate
Faculty senate meeting · February 20, 2026
What it does well
States the quorum as a share of the membership and says it held for the whole meeting.
Numbered sections from call to order to adjournment, and the approval of the previous minutes is a recorded motion.
Ends with who prepared the minutes and when.
Worth doing differently
Lists members present but not those absent, and never names who made a motion.
"Charges will be formalized and shared" has no owner or date.
Quorum (83%) was established at 3:30 PM and maintained throughout the meeting.

An Episcopal vestry and a Lutheran church council, one laid out as tables and one as numbered business.
St. Mark's Episcopal Cathedral, Minneapolis
Vestry meeting · November 18, 2025
What it does well
An attendance grid lists every vestry member with their role and marks who was there.
The agenda is a table with the person responsible and an estimated time for each item.
A decision the vestry made between meetings is entered in the record, with who moved and seconded it.
Worth doing differently
The motion to approve the previous minutes never records a result. On the roof contract, "All present voted yes, with one abstaining" is clear for a show of hands; giving the number present as well would save the reader a step.
On 11/4/25 the vestry met to discuss information regarding the roofing contract with High Calibur. After discussion, Gina Christ made the motion to separate from the contract and Tim Kingsley seconded the motion.

First Lutheran Church, Manhattan, Kansas
Congregational council meeting · September 18, 2025
What it does well
The quorum line gives the count and the minimum: eight present, five needed.
Members present and absent are listed by name, and business follows a numbered order.
Amendments to a policy are written out inside the motion.
Worth doing differently
Motions read "The motion was seconded and passed". Robert's Rules doesn't ask for the seconder's name, and a count is needed only when the vote was counted or the church's rules ask for it; if they do, write it in.
Follow-ups have an owner but no date, such as an update promised "at the next council meeting".
President Sheryl T called the regular council meeting to order at 6:30 p.m. Eight members were present, satisfying the minimum of five members for a quorum.

A parent-teacher association in Arizona and one in England, each with officers elected or appointed at the meeting.
Wheeler Elementary School PTA, Tucson
General membership meeting · September 9, 2025
What it does well
A header block gives the date, time, place, who presided and "Quorum: Established".
Says why there were no previous minutes to approve: it was the first meeting of the year.
Names who moved and seconded each motion, and ends with the adjournment time and the secretary's signature.
Worth doing differently
The treasurer's figures don't add up: $12,055.96 less $2,318 in expenses plus $4,683.00 in income is $14,420.96, not the $14,477.49 recorded. Check the arithmetic before the minutes are approved.
This being the first meeting of the association for the fiscal year 2025-2026 there are no previous minutes to approve.

Norton PTA, Norton C of E Primary School (Gloucestershire, England)
Annual general meeting · September 17, 2025
What it does well
Officer elections fit in one table: position, current holder, holder for the new year, proposed by and seconded by.
Attendees are tagged with their role, and apologies (people who sent regrets) are listed separately.
Worth doing differently
No quorum statement, no end time and no signature, and the finances only say "See AGM Report".
"Policy Review: add policies to website" has no owner or date.
Apologies: Penny Balding [Committee member]

An executive board and a general membership meeting, both with named movers and seconders on every motion.
ASEA/AFSCME Local 52 (Alaska)
Executive board quarterly business session · September 2, 2025
What it does well
Every motion and amendment has a number (Main Motion 26-001, Amendment 26-001A), and a contents list at the front points to each one.
The roll call gives each person's role and declares a quorum.
Departures and executive sessions are time-stamped, and the lines are numbered for reference.
Worth doing differently
One figure in a budget motion has a typo ("$ 62,2025"), and two headings, committee reports and unfinished business, are left empty. Write "None" under an empty heading.
Main Motion 26-009 (AKPPC Contribution) Moved by Michael LaDouceur, seconded by Ed Smyers. To approve the $5,000 contribution to AKPPC.

MDA-UAW Local 571 (Groton, Connecticut)
General membership meeting · September 8, 2025
What it does well
Every motion names the mover and seconder in the same pattern, so they are easy to scan.
Correspondence is logged item by item.
Signed by the recording secretary.
Worth doing differently
No call-to-order or adjournment time, no quorum statement and no attendance count.
The posted copy includes committee members' personal cell numbers and a note that a member was terminated. Keep contact details and disciplinary matters out of minutes that go on a website.
The MDA would like to continue as a Gold Sponsor, $10,000.00 for this event and a motion was made for this support (Thomas Clancy), seconded (David Belanger) and passed to accept.

Two federal advisory committees. Both are public domain, so the vote language can be reused as it is.
Freedom of Information Act Advisory Committee (National Archives)
Committee meeting, held online · April 2, 2026
What it does well
Each vote gives the mover, the seconder, the count, who abstained and who was absent.
Confirms the quorum with a count and notes who would join late and who would leave early.
Explains the voting rules before the first vote, gives the next meeting date, and ends with certification by the chair and the designated federal officer.
Worth doing differently
Motions are labelled "Action Item", so the real follow-ups, like a member drafting new wording, have no owner line or due date.
The meeting is said to run until 12:05 p.m. but was adjourned at 11:53 a.m.
Mr. Mulvey moved for a vote on draft recommendation SR-1. Ms. Frazier-Jenkins seconded the motion. The motion carried by a unanimous vote of 15–0, with Mr. Glendening abstaining and Ms. Manheim absent.

Vaccines and Related Biological Products Advisory Committee (FDA)
189th meeting, summary minutes · May 22, 2025
What it does well
Quotes the exact question the members voted on, then the result: "9 Yes, 0 No, 0 Abstain".
Gives the date the minutes were approved, with signed certifications from the designated federal officer and the acting chair.
Short discussion summaries instead of a transcript.
Worth doing differently
Absent members are marked only with a "+" next to their names, which is easy to miss. A separate "Absent" line is clearer.
The voting result was as follows: 9 Yes, 0 No, 0 Abstain

Two working groups that publish their weekly meeting notes. Both tag decisions and action items so they can be found later.
Fedora Engineering Steering Committee (FESCo)
Weekly meeting, logged in chat · July 28, 2026
What it does well
Every decision carries its count: "APPROVED (+8, 0, -0)".
Action items are collected at the end with an owner each, and next week's chair is assigned.
Exact start and end times, and a timestamp on every item.
Worth doing differently
The people list mixes members, bots and guests, so it doesn't show who was absent or who cast the eight votes.
Actions have no due dates.

What it does well
The header lists present, regrets (absent), chair and scribe.
Shows each vote from proposal to resolution, with every participant's +1 or +0.
Each action gets an owner and a tracker number, and the page ends with a summary of actions and resolutions.
Worth doing differently
Participants appear by chat handle, side remarks like "omg" stay in, and the page is still marked DRAFT.

How action items carry over: three weeks of one team meeting
Real minutes are a series: last week's action items come back, some are done, some slip, some are never mentioned again. This sample follows one weekly team meeting for three weeks, with the same action item IDs carried through. The studio and everyone in it are fictional.
An item is only "done" when there is evidence: an email, a file, a booked date. Someone saying "should be sorted" is not evidence.
An item nobody mentions is "needs confirming", never "done". Silence is how action items disappear.
Rescheduled items keep their original date, so the history stays honest.
Cancelled items stay in the record with the decision that cancelled them.
