Meeting agenda examples from real organizations

16 agendas that boards, HOAs, nonprofits, churches, PTAs and school boards, unions, councils and working teams have published, grouped by kind of meeting. Each one comes with what is worth copying and what to do differently, and links to the original. Next to each group is our own matching template, which you can copy or download. Private people's names are covered in the images.

What a good agenda includes

Robert's Rules calls the agenda an "order of business" and gives a standard one: approve the minutes, hear reports, then take up unfinished business and new business (RONR, 12th ed., §41:5). It is customary to send the agenda to members before the meeting (§41:62). For a public body, the law may set what the agenda must say and how far ahead it goes out: a federal advisory committee, like the one below, has to announce each meeting in the Federal Register at least 7 days ahead with a summary of the agenda. Here are the parts that matter, marked in that committee's agenda for April 2, 2026.

1Freedom of Information Act (FOIA) Advisory Committee Meeting. Thursday, April 2, 2026. 10:00 a.m. – 1:00 p.m. ET. Virtual and streaming on the National Archives YouTube channel

2*Times are approximate; chairperson reserves the right to adjust the times and take a break as necessary.

3Statutory Reform, Ryan Mulvey and Whitney Frazier-Jenkins, Subcommittee Co-chairs

4Recommendation to require implementation of a FOIA funding model at departments and agencies

511:15 a.m. Break

612:40 p.m. Public Comments

712:55 p.m. Closing Remarks and Adjournment

  1. 1
What, when and how to attend. The meeting, the date, the start and end time, and the room or the link, all at the top. Anyone who finds the agenda later can tell which meeting it was for.
  2. 2
A time for each item. Each item gets a start time, which shows how long it is meant to take. This committee says up front that the times are approximate and the chair may move them, so nobody is surprised when an item runs over.
  3. 3
Who leads each item. The person who presents it, by name and role, so they come prepared and members know whom to ask.
  4. 4
The actual proposals. The specific proposals, not just "subcommittee reports", so members can read them first. One thing is missing: the minutes of this meeting show the committee voted on a recommendation that day, and nothing on the agenda says a vote was coming. Mark items "for decision".
  5. 5
A break. In a three-hour meeting, a planned break stops people drifting out in the middle of an item.
  6. 6
Public comment. If outsiders may speak, give them a fixed slot. Federal advisory committees must accept written statements from the public, and may let people speak if the agency allows it.
  7. 7
An end time. People plan the rest of their day around it, and the chair has a reason to keep to time.

Six habits worth copying

  1. Say what each item needs from the group. "For a decision", "For awareness", "Action is requested to approve...". A reader can tell a vote from an update before the meeting starts. See NHS Orkney and AgeWays.
  2. Give every item a time. Start times or minutes per item, adding up to the length of the meeting. It is the quickest way to see that an agenda is too long. See All Saints Pasadena and CUPE 5047.
  3. Write out the motion or the question. The exact words the group will vote on, and the vote needed if it is more than a majority. See Summerlin South, Eliot Chapel and Verona.
  4. Print the rules for public or member comment. How long each person may speak, when, and how to do it remotely. See Jackson County, Hazel Park and SEIU 521.
  5. Point to the papers. A document number or packet page for each item, so people read before they arrive instead of during the meeting. See AgeWays, SEIU 521 and IETF.
  6. Proofread what you copied from last time. Old dates, last month's meeting name and repeated item numbers turn up again and again in the examples below. See Pinery and SEIU 521.

Board meeting agenda examples

A member-owned electric cooperative in Vermont and a Scottish health board. Both label every item with what the board is being asked to do.

Washington Electric Cooperative board agenda for June 24, 2026, with each item labelled Action, Information/Discussion or Information

Washington Electric Cooperative

Regular board of directors meeting (member-owned electric co-op, Vermont) · June 24, 2026
What it does well
  • Every item ends with what the board is asked to do: "Action", "Information/Discussion" or "Information". Directors can see at a glance which items need a vote.
  • Routine reports sit under "Informational Items - Discuss by Request". They are in the packet, and they only take meeting time if a director asks about one.
  • Last month's minutes go on the consent agenda instead of taking a motion of their own.
Worth doing differently
  • The two executive session items say what will be discussed (a battery project, a sale) but not why they are confidential. A short reason, such as "contract negotiations", tells members why the doors are closed.
  • The start time (4:00 pm) is in the header, but no item has a time of its own, so nobody can tell how long the policy items are expected to take.
  • Check details carried over from older agendas: the membership report covers "5/15/25 – 6/14/25" on a June 2026 agenda, and "Ballot" is spelled "Balot".

First page of the NHS Orkney public board agenda for October 30, 2025, each item with a presenter and a purpose such as For a decision

NHS Orkney

Public board meeting of a Scottish health board · October 30, 2025
What it does well
  • Each item has two short lines: who presents it, by role ("Presenter: Medical Director"), and what the board is there to do: "For awareness", "For discussion", "For a decision" or "For assurance".
  • Standing items come first: apologies, declarations of interest, the previous minutes, matters arising and the action log. Last meeting's open actions are reviewed before any new business.
  • Declarations of interest come before the business, so a member with a conflict says so before the item it affects.
Worth doing differently
  • The only time given is for the whole meeting, 9:30 to 12:30, for more than 20 numbered items. A time for each section would show whether it all fits.
  • Check the numbering and remove empty headings before sending: items 24.1 and 24.2 each appear twice, and "Strategic objective - Potential" has nothing under it.

HOA meeting agenda examples

Two homeowners association boards, in Nevada and Colorado. Both give owners two chances to speak, one before the votes and one at the end.

Summerlin South Community Association board agenda for April 17, 2025, with the consent agenda rule and the executive session note

Summerlin South Community Association

Board of directors meeting (Las Vegas, Nevada) · April 17, 2025
What it does well
  • The consent agenda explains itself in one sentence: everything is approved by one vote, with no discussion "unless a director requests specific items be removed". Owners reading it know how the vote works.
  • The motion is written out before the vote: "Resolved to accept Exhibit III. A through Exhibit III. D."
  • Owners can speak twice: on agenda items near the start, before the board votes, and on anything at the end.
  • The executive session note gives the time and the reason: "assessment collection, legal issues and compliance issues."
Worth doing differently
  • Neither comment period says how long each owner may speak. A printed limit, like the three minutes on the Pinery agenda below, settles it before the meeting.
  • "Notice is hereby given that action may be taken on any item on the agenda" covers everything, so owners can't tell which of the seven new business items will actually be voted on.
All items under the Consent Agenda will be approved by one vote. There will be no discussion of the items unless a director requests...

The Pinery HOA board agenda for May 28, 2025, with two owner comment periods of three minutes and dollar amounts on new business

The Pinery Homeowners Association

Regular board meeting (Parker, Colorado) · May 28, 2025
What it does well
  • Both owner comment slots print the limit, "Time Limit – Three Minutes": one for agenda items before the business, one for anything else at the end.
  • Spending items show the amount in the title, such as "Approve Removal of Dead Trees at Front Entrance ($5,200)", so owners know what is being approved before they arrive.
  • Two sets of minutes are up for approval, and both are listed, including those of a special meeting held in executive session.
Worth doing differently
  • It is hard to tell when and where this meeting starts: the only time on the page, 7:30 p.m., is on the "next meeting" line, and the only address is the association's, in the letterhead.
  • The "next meeting" line gives the date of this same meeting, May 28, 2025. Update that line every time.
  • Items such as "Baseline System Testing and Warranty Renewal" don't say whether the board will vote on them.

AgeWays Nonprofit Senior Services

Board of directors meeting (Southfield, Michigan) · April 25, 2025
What it does well
  • Under each item, one sentence says what the board is asked to do: "Action is requested to approve Legislative Platform", "Action is requested to accept and file", or "Informational". This is the habit most worth copying.
  • Every item has a start time (9:42, 9:44, 9:46 and so on), so directors can see how many minutes each one gets.
  • Each item points to its paper in the board packet ("Doc 4a-b") and names the presenter with a title.
  • The date and time of the next board meeting are at the top of page 2.
Worth doing differently
  • "Call to the Public" gets five minutes but no rules: how long each person may speak, or whether comments must be about items on the agenda.
  • The last item, "Member Information Exchange", has no owner or purpose, so nobody knows how to prepare for it.

Casualty Actuarial Society

Board of directors meeting on Microsoft Teams (professional society) · January 14, 2025
What it does well
  • A four-column table: the time allocated, the topic, who is responsible, and whether the item is for action, discussion or information.
  • Items are grouped by what the board does with them. Consent items get five minutes, the two key items get 40 and 10, and information items are listed for reading with no meeting time.
  • An antitrust notice is the first item, before any business.
Worth doing differently
  • The executive session is listed at 1:00, the time the meeting is due to end, with no time set aside and no reason given.
  • People are named by surname only. A role next to the name ("CEO", "Treasurer") helps anyone who doesn't know everyone.

First page of the All Saints Church vestry agenda for October 5, 2025, every item with an owner, a start time and a length

All Saints Church, Pasadena

Vestry meeting (Episcopal parish council) · October 5, 2025
What it does well
  • Every line gives the owner, the start time and the length, such as "Terry Knowles (12:37pm / 15 mins.)", and the times run on from each other without gaps.
  • Reports marked "(sent out)" were circulated beforehand, so members know to read them before the meeting.
  • Guests have their own slot near the end, "Comments from guests (1:41pm / 5 mins.)", after the vestry's business.
  • "Communication back to the parish" sets aside four minutes to agree what goes back to the congregation.
Worth doing differently
  • The executive session at the end has a length (14 minutes) but no subject or reason.
  • The page prints a personal email address for apologies. On anything posted online, use a church or role address.

Eliot Unitarian Chapel annual meeting agenda for May 18, 2025, with times, a consent agenda of elections and two written-out ballot questions

Eliot Unitarian Chapel

Annual congregational meeting · May 18, 2025
What it does well
  • The two ballot measures are written out as yes-or-no questions, each starting "Shall Eliot Unitarian Chapel...", with the vote needed printed underneath: "A majority of the votes cast shall be sufficient."
  • Routine business is one consent agenda: approving the agenda, last year's minutes and four elections, each with the person's name and term.
  • "Statement of Quorum" and "Adopt Meeting Rules" come before any vote, each with a time.
  • The chapel's meeting page says how to take part: the livestream is public, and members vote on Zoom through a link sent to members.
Worth doing differently
  • Several items name their owner by first name only ("Opening of meeting – Carole"). That works inside the congregation, but not for visitors or anyone reading the record years later.
*A majority of the votes cast shall be sufficient to approve each measure.

Rolling Hills Middle School PTA agenda for October 15, 2025, organized by officer, with the minutes approval marked VOTE

Rolling Hills Middle School PTA

PTA association meeting on Zoom (Los Gatos, California) · October 15, 2025
What it does well
  • Organized by who speaks: each officer's role and name, with their items underneath, so members know whom to ask about each part.
  • The vote is flagged in the item itself: "Approve September 17, 2025 Association meeting minutes - VOTE".
  • The treasurer's slot includes "Check approvals", so members know payments will be approved that night.
Worth doing differently
  • Only the minutes are marked VOTE, though check approvals are approved too. Mark every item that needs a vote.
  • The start time (6:30PM) is at the top, but no item has a time of its own, and the next meeting is just "November 19", with no time or link.
  • The Zoom link and passcode are printed on an agenda posted on the school website. For a members' meeting, send the link to members instead.

First page of the Hazel Park Board of Education agenda for February 2, 2026, with the location and format note and the public comment rule

Hazel Park Schools Board of Education

Regular school board meeting (Hazel Park, Michigan) · February 2, 2026
What it does well
  • A "Location and format" note covers where the meeting is, how to watch it (YouTube) and how to comment without coming in: by email to the board president before the meeting.
  • Public comment comes twice, with the rule printed both times: five minutes per speaker early in the meeting, three minutes near the end, and speakers give their name and address.
  • New business items are labelled "(Action Item)" or "(Informational)", and a column on the right gives a page number for each item.
  • The closed session names its legal ground: "closed session 8(c) for strategy and negotiation sessions".
Worth doing differently
  • New business runs from A to AA: 27 items, almost all for action, with no times. Routine items already go through the consent agenda; a time for each new business item, or for groups of them, would show whether the meeting can finish.
A member of the Board may request any item to be removed from the consent agenda and defer it for more discussion and specific action.

First page of the SEIU Local 521 executive board agenda for September 27, 2025, with the open forum rules and reports with packet pages

SEIU Local 521

Executive board meeting (California) · September 27, 2025
What it does well
  • The open forum sets its own rules: 30 minutes in total, two minutes per member, and a request for board action goes on a future agenda. Statements that need a reply are "referred to staff for reply in writing".
  • Each report names who gives it and where to read it, such as "Treasurer's Report: Kate Selover-(pages 105-107)", or "-oral" when there is no paper.
  • The consent agenda is split into two motions, one for committee business and one for political endorsements.
Worth doing differently
  • Text copied from an old agenda wasn't updated: this September agenda says "Call to Order of the July 2025 Executive Board Meeting".
  • The item letters repeat and skip: two items are lettered E, then come "-G." and "I..".
If Board action is requested, the Board may place the matter on a future agenda.

CUPE Local 5047

General membership meeting (education support workers, Nova Scotia) · June 9, 2026
What it does well
  • Every item has a time budget in minutes, and they add up to exactly 90, the length of the meeting (6:30 to 8:00).
  • Elections list the seats being filled, such as "Equity Committee (2 seats)", so members can decide whether to run before they arrive.
  • Two ways to attend, both at the top: in person at the regional office, or online, where "a link will be sent from Motion Meetings" instead of being printed.
Worth doing differently
  • New business gets 25 minutes for five topics, including a strike vote update and a bylaw recommendation, and none of them has an owner.

A county board in Colorado and a township council in New Jersey. Public bodies like these publish agendas by law, and they are good models for public comment and written-out motions.

First page of the Jackson County commissioners agenda for January 13, 2026, with clock times down the left and the Zoom comment rules

Jackson County Board of County Commissioners

Regular meeting (Walden, Colorado) · January 13, 2026
What it does well
  • Most items have a clock time, from 8:30 through 11:50, with adjournment at 12:15, and a warning that items may run early or late "with the exception of public hearings".
  • Remote speakers get exact instructions: show your legal name on Zoom, raise your hand, give your county address. Three minutes each.
  • The agenda says plainly that "Commissioners and Staff typically do not respond during public comment", so speakers know what to expect.
  • The executive session cites the section of Colorado law it relies on, 24-6-402(4)(b).
Worth doing differently
  • Almost every item ends "Board action as necessary", which never says what is proposed. "Approve the ArchaSearch contract" would.
  • Resolution numbers don't follow one pattern: "2025-i-13(b)" and "2026-i-(d)" sit among the 2026-i-13 series.
Commissioners and Staff typically do not respond during public comment.

First page of the Verona Township Council agenda for July 6, 2026, with a legend for consent and two-thirds items and ordinances by number

Township of Verona Council

Regular township council meeting (Verona, New Jersey) · July 6, 2026
What it does well
  • A legend in the page header marks consent agenda items (###) and items that need a two-thirds vote (***), so the vote needed shows next to each item.
  • Ordinances are named by number and by the section they change: "Ordinance No. 2026-27 Amending Chapter 140 ... to Include Municipal Lot #3".
  • Public comment on consent items has its own slot just before the consent agenda, so residents can raise a routine item before it passes without discussion.
  • The call to order says how the meeting was announced and where the meeting documents are online.
Worth doing differently
  • The four-minute limit per speaker is printed, but at the bottom of page 2, and that note sends readers to public comment as items "I" and "O", while this agenda lists it at G, J and P. Put the rule next to each comment slot, and check the letters when items move.
  • The Zoom link and dial-in numbers are printed, but how to ask to speak remotely is left to the night: "instructions on how to comment will be provided at the appropriate time".
  • Only the start time (7:00 P.M.) is given; no item has a time of its own, even the two presentations.
A public comment period will be held in the order it is listed on the meeting agenda

IETF v6ops Working Group

Working group session at IETF 124 · November 4, 2025
What it does well
  • Each line is a document, its presenter and its minutes: "7084bis, Tim Winters, 15m". Every title links to the draft, so people can read it first.
  • Small items share one timebox: "These four should fit within a 20m slot".
  • Lower-priority talks go under "Discussion (as time allows)". The fixed items fill 85 of the 120 minutes, so everyone can see which talks might not happen.
  • One item says what the group needs from the room: "operational input requested".
Worth doing differently
  • "Minute taker: TBD". Name the note taker when the agenda goes out instead of finding one at the start.
  • Apart from that one item, nothing says what the group should decide or produce.

Node.js Technical Steering Committee

Regular meeting of an open-source project's steering committee, held on Zoom · May 27, 2026
What it does well
  • The agenda is built from labels: it is extracted every day from issues and pull requests labelled tsc-agenda, and each item links to the full discussion.
  • The start time is in UTC, with a table for 12 time zones, which matters for a team spread around the world.
  • The minutes document is linked from the agenda, so the note taker starts from a page that already exists.
  • It says how outsiders can follow: the call is streamed live on YouTube.
Worth doing differently
  • Items are issue titles only, with no time, owner or question. "Update meeting schedule" doesn't say what needs to be decided.
