Meeting action items tracker

Meeting action items template

A meeting action items template is one table where every task from a meeting gets an ID, a single owner, a due date, a status and a line saying what done looks like. Keep one tracker across all your meetings, review the open items at the start of each meeting, and close items with evidence instead of just crossing them off.

Want it as a spreadsheet? The Excel meeting minutes template includes this tracker as an .xlsx action tracker sheet with a status drop-down.

Questions people ask

What is the difference between an action item and a decision?
A decision is something the group agreed, like "Elm Street closes at noon on December 24". An action item is a task someone has to do because of it, like "Post the December 24 hours on the website by Dec 1". Record both, but only action items go in the tracker. There is more on wording both in how to write meeting minutes.
Should action items live in the meeting notes or in a separate tracker?
Both. Write the new action items at the end of each meeting's notes so the record is complete, and copy them into one tracker with the same IDs. The tracker is what you review at the next meeting, so open items do not get lost in old notes.
What do you do with an action item that keeps getting pushed back?
After the second new due date, ask what is really in the way: no time, no decision, or no one who actually wants it. Then either fix that, hand it to someone else, or drop it on purpose and write that down. A dropped item is better than one that sits overdue for months. The meeting minutes example shows items closing, slipping and being dropped over three weeks.
