Meeting minutes in Excel

Meeting minutes Excel template

An Excel meeting minutes template works best as one workbook with two jobs: a minutes sheet per meeting for attendance, agenda items and decisions, and a single action tracker sheet where every follow-up from every meeting gets its own row with an owner, due date and status. Use Excel when you need to sort and filter action items across many meetings. If your minutes are mostly paragraphs or formal motions, a document is easier to read.

Questions people ask

Is Excel a good place to keep meeting minutes?
For short minutes with many follow-ups, yes, because you can sort and filter the action items. Excel is poor at paragraphs, so if your meetings need detailed discussion notes or formal motions and votes, write the minutes in a document and keep only the action tracker in Excel.
Can I save this as an Excel template file?
Yes. Clear the example rows and use File > Save As with Excel Template (.xltx) as the file type. Opening an .xltx file starts a fresh workbook, which suits one-off meetings. For a recurring meeting, keep one running workbook instead so open action items carry over.
Does this work in Google Sheets?
Yes. Paste it the same way. In Google Sheets the drop-down is under Data > Data validation, and the overdue highlight goes in Format > Conditional formatting using the Custom formula is condition with the same formula.
Should I use checkboxes for action items in Excel?
Excel for Microsoft 365 has Insert > Checkbox, which puts a checkbox in each selected cell. A Status drop-down usually tells you more, because it can say needs confirming or dropped instead of only done or not done. If you do use checkboxes, keep the due date and owner in the same row.
